Proctor Guidelines

Overview

The following policies and procedures outline the guidelines and agreements for proctors supporting:

  • Grades K-9 Foundation Skills Assessment
  • Grades 10 – 12 provincial numeracy and literacy assessments.

Policy

A. K-9 Guidelines

Foundation Skills Assessment  (FSA): Invigilator/Proctor Guidelines

  • The FSA invigilator can be any responsible adult over 18.
  • Invigilators must thoroughly familiarize themselves with and follow invigilation protocol / guidelines provided by SelfDesign.

B. 10-12 Guidelines

Provincial Assessment Invigilator/Proctor Guidelines

For learners that are taking the Provincial Assessments, SelfDesign requires that the exams and assessments be:

  • Written at a supervised Exam Site: SelfDesign’s Provincial Assessment facilitator will make arrangements for SelfDesign’s School-of-Record (SOR)  learners to write their provincial assessments at host schools and at SelfDesign’s own self-hosted sites.  
  • Proctored by a certified teacher or school administrator (which can include but is not limited to a SelfDesign learning consultant or learning specialist) in a public setting. This adult cannot be a family member and must be over the age of 21 years old, and will ensure that the youth writing the provincial assessment does so in an honest manner, using only their own knowledge, skills, and abilities in the subject area.
  • SelfDesign organizes Literacy and Numeracy Assessments during November, January, and June Sessions
  • The assessment/exam must be written electronically and the computer must be configured appropriately and securely as outlined in the electronic computer and browser requirements. 
  • Learners may have access to a scribe / reader, as required. Scribes / readers must follow the guidelines for readers/scribes provided by SelfDesign.
  • The security controls must be downloaded and installed.  
  • The assessment/exam must be written during the scheduled exam window, adhering to the set start and end times.  
  • The assessment/exam must stay secure during and after it is written.  
  • The student must submit their work upon completion.  
  • The invigilator must return all materials back to the Ministry.
