4.4 Credit Card Policy

Policy Statement

SelfDesign Learning Foundation (SDLF) is committed to safe practices when issuing credit cards to individuals to maintain accountability and integrity of our spending.

Policy

SelfDesign Learning Foundation will only issue a credit card to an individual once a SelfDesign Credit Card Agreement has been completed and signed by the individual receiving the credit card and authorized by the President and CEO.

Protocol

The use of the organizational credit card is not to be used for personal expenses and no cash advances are to be taken using the SDLF credit card. When a SDLF credit card is lost or stolen, the owner of that card must notify the financial institution that issued the credit card, as well as the Chief Financial Officer (CFO).

All holders of SDLF credit cards are required to reconcile their purchases (with receipts) to an official credit card statement. The reconciliation must include the dates and descriptions of the purchase(s), the GST/HST amount (if applicable), as well as the general ledger code to charge the expenditures to. The reconciliations must be authorized by their Foundation contact.

All SDLF credit cards are to be returned to the organization when the person is requested to do so by the CFO, or the President and CEO, or when they are no longer a contractor of SDLF.

In addition to financial responsibility and liability, any purchases an individual makes with a company credit card in violation of this policy will result in disciplinary action, up to and possibly including termination of contract.
